The Executive Assistant (EA) to the CFO and Head of Legal will provide individualized administrative support to senior leadership, enabling the Finance and Legal teams to focus on strategic priorities. This role combines classic EA duties with opportunities to drive operational efficiencies, manage compliance workflows, and support global travel logistics. The ideal candidate is detail-oriented, proactive, and passionate about crypto/finance, with the ability to handle sensitive data and adapt to a fast-paced environment.
WHAT YOU WILL DO:
- Executive & Team Support
- Manage calendars, schedule meetings, and coordinate travel for the CFO and Head of Legal.
- Oversee ad-hoc requests, expense reports, and department budget/spend analysis.
- Act as a liaison between executives and departments, fostering communication and collaboration.
- Team updates/project management.
- Take comprehensive minutes for meetings and coordinate offsites.
- Travel & Logistics Management
- Book flights, hotels, and coordinate ground transportation.
- Track recurring London trips and associated budgets.
- Coordinate internal and external offsite meetings.
- Compliance, Legal & Document Coordination
- Promptly process daily NDAs via DocuSign.
- Coordinate notary appointments.
- Manage profile updates for licensing requirements.
- Office Administration
- Maintain calendars with birthdays/anniversaries + monthly reminders.
- Book restaurants and track pending receipts.
- Oversee office snacks/events (BA office: lunches/breakfasts; delegate fruit/snack orders).
WHAT YOU WILL NEED:
- Experience: Minimum 3 years supporting finance teams/CFOs, preferably in tech/crypto.
- Skills:
- Advanced English (flawless written/verbal communication).
- Proficiency in Google Suite, DocuSign, and collaborative tools (Slack, Signal, Telegram, What’s App).
- Familiarity with online travel booking systems.
- Attributes:
- Discretion with confidential information (financial, legal, personal).
- Proactive problem-solving, prioritization, and cross-timezone coordination.
- “Solution finder” mindset and curiosity about crypto/finance.
- Passion for building team culture and fostering collaboration.
